Features

Built around how fax actually gets used: submitting, converting, queueing, dialling, receiving, routing, archiving and integrating — each step visible and manageable inside the system.

01

Sending

Users log in, pick a file, enter the destination number and submit. No fax driver or client software is installed on individual machines.

  • Accepts common office documents including PDF, DOC, DOCX, RTF, ODT, XLS, XLSX, CSV, ODS
  • Submit several recipients at once to send the same document in bulk
  • Enter the remote extension and the system dials it once the call connects
  • Optional cover page template showing sender and subject
02

Receiving

The line answers automatically, and the received fax is stored as a document that can be viewed in the browser — no printing required.

  • Incoming faxes are received and stored without anyone attending a machine
  • Voice prompt support: callers dial an extension and the fax lands in that inbox
  • View the fax online or download the original file
  • Unrouted faxes go to a shared inbox for an administrator to reassign
03

Job management

Every request enters a queue and is dispatched to the next free port. Status is visible throughout, and failed jobs can be examined and resubmitted.

  • States: queued, sending, delivered, failed
  • Jobs queue automatically when all lines are busy, so nothing is dropped
  • Failures keep their reason and can be corrected and resubmitted
  • Search past jobs by number, subject, date or status
04

Port management

Administrators see the live state of every fax line, making it quick to tell a line problem from a job problem.

  • Live view of idle, sending and receiving states per port
  • See which job a port is currently handling
  • Spot line faults and board channel failures
  • Expand ports to match the board channel count, including multi-board setups
05

Users and permissions

Users, departments and roles follow your organisation, and people only see the fax data their permissions cover.

  • Three levels: users, departments and roles
  • Function permissions and management scope assigned per role
  • Fax data is separated by ownership — standard users cannot see other people’s faxes
  • Login and key operation activity is logged
06

Archiving and search

Sent and received faxes are stored together on your own server as a searchable electronic archive, replacing the paper filing cabinet.

  • Sent faxes, received faxes and the underlying files stored in one place
  • Job event history and delivery results retained
  • Device logs written per category for later review
  • Search history by date, number or subject
  • With OCR enabled, fax text enters the full-text index and can be searched by content
07

Smart routing

Incoming faxes are read for QR codes, barcodes and text, then delivered to the matching user or department, cutting out manual sorting.

  • QR formats: QR Code, Data Matrix, Aztec, PDF417
  • Barcode formats: Code 128, Code 39, ITF, EAN, UPC and more
  • Every page is scanned at any position, and multiple codes per page are all read
  • OCR keyword rules cover existing documents that carry no code at all

08

Document conversion

Uploaded office documents are converted on the server into the format fax transmission requires — nobody has to export to PDF or an image first.

  • Word, Excel, PDF and images converted automatically
  • Processed at standard fax resolution so the received copy stays legible
  • Conversion has its own log, so problem files can be traced
  • Received faxes can be converted to PDF for filing and forwarding
09

API integration

An HTTP API for your existing systems, so a fax can be sent the moment a process completes, with no second manual step.

  • Endpoints to submit a fax job and query its status
  • Key-based authentication with controllable scope
  • Usable from OA, ERP, MES, CRM and WMS systems
  • Typical use: fax the document automatically once an approval passes
